Executive

President

  • Lead and promote the club
  • Promote the inclusion of all kids in basketball
  • Interact and build positive relationships with Kilsyth Basketball and other club presidents
  • Attend Club Presidents meetings & Tribunal hearings
  • Attend to complaints from parents
  • Chair Committee meetings

Vice President

  • Support the President as required
  • Understanding of clubs’ rules & policies
  • Understand KMDBA structure

1-2 hours per week

Secretary

  • Organise & record Committee meetings and AGM
  • Process correspondence as required

1 hour per week

Treasurer

  • Account for the clubs’ finances
  • Produce monthly financial statements
  • Payment of invoices & processing of refunds

1 hour per week

Office Holders

Boys Co-ordinator

  • Respond to new players enquires
  • Develop and finalise teams with relevant Age Group coordinators
  • Main contact point for parent enquiries
  • Assist in Coach/Team Manager recruitment
  • Assign training times and courts with Venues coordinator
  • Attend Grading meetings (as required)

25-30 hrs per week mostly 6 to 8 weeks preseason

Boys Assistants

Age Groups – Miniball-U9, U10-11, U12-13, U14, U15, U16-21

  • Form teams & complete team sheets for age group
  • Assist Co-ordinator with TMs/Coaches recruitment
  • General tasks – finding subs for teams, TM enquiries

20 hrs over 2-3 weeks pre-season

1 hr per week in season

Girls Co-ordinator

  • Respond to new players enquires
  • Develop and finalise teams with relevant Age Group coordinators
  • Main contact point for parent enquiries
  • Assist in Coach/Team Manager recruitment
  • Assign training times and courts with Venues coordinator
  • Attend Grading meetings (as required)

15-20 hrs per week mostly 6 to 8 weeks preseason

Girls Assistants

Age Groups – Miniball–U9, U10-U11, U12-14, U16-21

  • Form teams & complete team sheets for age group
  • Assist Co-ordinator with TMs/Coaches recruitment
  • General tasks – finding subs for teams, TM enquiries

20 hrs over 2-3 weeks pre-season

1 hr per week in season

Membership

  • Co-ordinate twice yearly Player renewals process – Rego forms, PlayHQ, Member & Co-ordinator enquiries

2-3 hours per week over 6 week renewal period

Marketing

  • Manage Social Media, Website, Club Branding
  • Respond to enquiries & assist registration process
  • Club development activities
  • Create periodic newsletter

1-3 hrs per week over the registration period then 1 hr pw

Uniforms

+ Assistants

  • Update uniform supplier with new players & orders
  • Maintain database with orders/uniform allocations
  • Organise replacements for singlet clashes
  • Distribute Coaches uniform and bag/pack
  • Run “pop up” uniform shops per season
  • Liaise with Girls/Boys Co-ords on new player orders

1-3 hrs per week over the registration period then 1 hr pw

Child Protection Officer

  • Record Working with Children Checks
  • Address any concerns raised by players

< 1 hour per week

Historian

  • Store all club memorabilia (photos, flags, uniforms)
  • Create historical Club displays on event days
  • Record all club yearly highlights & results

2-3 hrs per week

Venues

  • Allocate courts per Boys/Girls coordinator requests
  • Maintain relationships, contracts and agreements with current training venues
  • Search for new training venues as needed
  • Liaise with Boys/Girls coordinators on venue issues

2-3 hrs per week

Trophies

  • Coordinate club trophy and/or medals
  • Liaise with Boys & Girls coordinators on names for plates
  • Pickup and distribute trophies on Grand Final Day or to Team Managers

1-2 hrs per week over 4 week finals period

Coaching

  • Provide support to all coaches along with Coach Mentors
  • Recruitment of coaches with Boys and Girls Coordinators
  • Co-ordinate clinics for coaches with Coaches Panel
  • Pre-season catch up with all coaches
  • Engage coaches on Coaches Forum
  • Ensure coaches have training equipment and handbook
  • Maintain a record of coaches

2-3 hrs per week mostly preseason

Team Managers Coordinator

  • Coordinate communications to all team managers
  • Set up team sheet payment process with Kilsyth
  • Assist new TMs with information on best practice
  • Assist with any TM enquiries
  • Distribute & collect Team Manager satchels
  • Record TM and WCCC details

5 hrs per season

Grants & Sponsorship

  • Discuss appropriate grants with committee
  • Complete grants requests / templates
  • Follow up ensuring grant used according to criteria
  • Explore avenues for Club and event sponsorship

2-3 hrs per week mostly pre-season

Covid Safety

  • Create Covid-19 safety plans to ensure safety
  • Work with club to deliver safe training environment
  • Work with Kilsyth ensuring DHHS rules are met
  • Ensure Coaches have relevant DHHS qualification
  • Keep records of Covid qualifications for Coaches, Team Managers and Officials

2-3 hrs per week mostly pre-season

Equipment

  • Co-ordinate borrowing of Saints equipment by coaches
  • Promote equipment & its use on Coaches Forum
